How to Train Your Accountant or New Staff on Tally Prime: A Simple 30-Day Plan

Every business owner in Ludhiana knows this situation. A new accountant says, “I know Tally.” A month later, the sales and purchase records are wrong and the stock doesn’t tally. Here is a simple 30-day plan to avoid that.

Before Day 1: Prepare

  • Create a separate Tally login with only the rights this person needs.
  • Take a fresh backup of your company data.
  • Create a practice company, so live records are not changed by mistake.
  • Write down your rules for naming items and customers and raising bills.

Week 1: Learn to Navigate

Get comfortable with the main screens, ledgers, groups, stock items and vouchers. Stick to four basic entries: sales bill, purchase bill, receipt and payment.

Week 2: Work Daily, With Supervision

Start real work with someone watching. Practise sales and purchase vouchers, record receipts and payments against specific invoices, and handle returns, discounts and corrections. Hold a 10-15 minute review every day. Mistakes caught now cost far less than at month-end.

Week 3: Reports and Self-Checking

Learn the basic reports: debtors, creditors, cash and bank balances, stock summary and sales register. Learn to check their own work, such as matching the bank balance with the passbook.

Week 4: Month-End Practices

Ask your CA for the exact monthly list . Do a mid-month review of bills, GSTINs and tax details. Learn backups, then give a few sample invoices as a final test.

Mistakes to Avoid

  • Teaching everything at once.
  • Practising on live data.
  • Skipping daily checks in the first two weeks.
  • Giving full user rights from the start.
  • Not writing procedures down.

When to Get External Help

A short-term training partner helps if you have just moved from Excel, several new people are joining, or reports show discrepancies nobody can explain.
